Adding notes in bulk

Note: we’re in the process of making some changes to improve the CRM. Your CRM may look a bit different now, but the functionality is the same.

Details to keep in mind:
  • Notes saved on the contact will appear only on the contact, not in the pipeline. Notes attached as a pipeline update will be saved within the pipeline item and appear in the pipeline report.
  • Contact notes are included in a contact export, but not the pipeline report or a pipeline item’s history.
  • If you need all notes about a contact exported, export from the Contact list.
  • The pipeline report will display the note that was saved as part of the last update. That note will also be included in the pipeline report export.
  • While you can bulk create notes, there’s no way to bulk edit or delete notes. Be sure to double check the note details before saving.
From the Contact list:
  • Please note: bulk creating notes will create a unique note for each selected contact with the exact same text, time stamp, and date stamp.
  • Go to the main Contact list by selecting "Contacts" in the navigation bar on the left.
  • If necessary, filter your contact list by any desired criteria to pull up just the appropriate records.
  • Tick the "Select all" box above the first contact and select all of the records. Or, tick just the box to the left of the desired records.
  • Select “Perform bulk action on [number] records” at the bottom of the screen. In the dialog that opens, select “Attach an item.” Then, choose “Note.”
  • Enter the desired text for the note in the text area that appears. By default the note will be saved with the current time and date stamp; if necessary, adjust the note time and date using the calendar icon in the lower right corner.
  • Click on the button “Add note to [number] records.” Then select “Attach to [number] records” to confirm the note creation.
From the pipeline report:
  • Please note: bulk creating notes will create a unique note for each selected pipeline item or contact with the exact same text, time stamp, and date stamp.
  • Go to the desired pipeline report by mousing over “Reports” in the navigation bar on the left and selecting the appropriate pipeline name.
  • If necessary, filter your pipeline report by any desired criteria to pull up just the appropriate records.
  • Tick the "Select all" box above the first contact and select all of the records. Or, tick just the box to the left of the desired records.
  • Select “Perform bulk action on [number] records” at the bottom of the screen. In the dialog that opens, select “Attach an item.” Then, choose “Note.”
  • In the dropdown near the top of the dialog, select the type of note you’d like to save. A note attached as a pipeline update will be saved within the pipeline item and appear in the pipeline report. A note attached to the contact record will be saved in the contact history, and will not appear in the pipeline report.
  • Enter the desired text for the note in the text area that appears.
  • Click on the button “Add note to [number] records.” Then select “Attach to [number] records” to confirm the note creation.
