Your guide to cancelling a CRM account

Some CRMs make it tricky to cancel or leave their software. Here's a collection of quick guides on how to cancel any CRM account

Whether you're migrating to a different CRM, or just ready to move on from CRMs in general, there will come a time when you'll need to know how to cancel a CRM account. Most CRMs make it a straightforward process, but some have fine print in their Terms of Services that you might not have realized. Here's a collection of all the cancellation procedures for 20 of the most popular CRMs, including any fine print they've added in their Terms of Services.

How to cancel Less Annoying CRM

Cancelling your Less Annoying CRM account is straightforward: go to your Settings page, and click on 'Close account' on the left side of your page menu, under 'Company settings':

The fine print:

  • Only account owners can close an LACRM account in the app.
  • Once your account has been closed, you and your team will immediately lose access to the CRM. If you need to re-access it to export your data, just reach out to the support team -- we'll keep your data intact for a year before purging it from our servers.
  • You can request for your data to be purged from our servers when you close your account -- just let us know in the comment box when you close your account.

How to cancel Pipedrive

Cancelling your Pipedrive account is straightforward: go to your Billing tab under Settings, and select 'Cancel my subscription' at the bottom of the page.

The fine print:

  • Only administrators can close a Pipedrive account in the app.
  • If you cancel your subscription before the end of your billing cycle, you and your team will continue to be able to access Pipedrive until the end of your billing cycle. Your account will only be restricted from access once that billing date has passed.
  • Your account data will be purged from Pipedrive's servers after 6 months.
  • You do not receive a refund if you close your account before the end of your billing cycle.

How to cancel Salesforce

Salesforce has different procedures for cancelling different types/tiers of accounts.

If the 'Manage Subscription' page under 'Setup' is available on your account (this would be the case for Salesforce Essentials), the Cancel Subscription button is at the bottom of the page.

If this option is not something you see on your account, the most surefire way to cancel your Salesforce account, regardless of account type and product is to email billing@salesforce.com with your account number in the subject line of the email (your account number is found on the top right corner of your invoice).

The fine print:

  • For a majority of Salesforce account types, you will need to contact Salesforce directly to cancel your account.
  • You may need to provide 30 days notice prior to termination if specified on your Order Form
  • You may need to speak with the Account Executive specific to your account to close the account.

How to cancel HubSpot

If you're on the free tier or a trial of HubSpot, cancelling is easy. Free trials expire on their own after 30 days, and on your free account, you can just click on your Account Name on the top right corner, followed by 'Account & Billing'. Select the 'Delete Account' tab, then hit 'Delete account'. Be sure to then confirm the deletion on the following page. This permanently deletes your HubSpot accunt and data on it.

It's a little less straightforward with a paid account. One big thing to consider before cancelling your paid HubSpot subscription is that the commitment length on your contract with HubSpot will still run its full course (meaning that if you've committed to a full year, you'll continue to be charged monthly until the end of the year even if you cancel your subscription). Cancelling your account only means you're cancelling the auto-renewal.

To cancel a paid HubSpot account (read: stop auto-renewal), click on your Account Name on the top right corner, followed by 'Account & Billing'. Select the 'Subscriptions' tab and then click on 'Cancel' next to the subscription you want to cancel.

This will pull out a panel on the right with a red button for 'Cancel renewal'.

After the cancellation of your account renewal, your account will be downgraded to the free tier. You can then follow the instructions for the free tier above to delete the account if you wish to stop using the system.

The fine print:

  • You will continue to be charged for the duration of your commitment length, even if you cancel your paid subscription. (E.g. if your contract has a 12-month commitment term, you'll continue to be billed monthly until the end of the 12 months, even if you cancel before then).
  • Only users with Modify Billing permissions can cancel a HubSpot account.
  • If you have multiple product subscriptions in your HubSpot account, you have to delete each subscription individually.
  • You need to un-assign paid seats from users before you can cancel a subscription.

How to cancel Nimble

You can cancel your Nimble account from within the app. Go to 'Settings', followed by 'My Account'. The 'Delete Account' option will be at the bottom of the page. Continue to the confirmation page to finalize the deletion (you'll be prompted to enter your login password to finalize this).

The fine print:

  • You do not receive a refund if you cancel your account before the end of your billing cycle.
  • You do not receive a refund for any enrichment credits you purchase.
  • You can only switch from Annual to Monthly billing 30 days before the end of your Annual billing cycle (i.e. you cannot switch from Annual to Monthly billing 3 months in).
  • Accounts can only be deleted from a web browser, and not from your phone.
  • Deleting your Nimble account does not remove Nimble from your Google Apps account. You'll need to manually remove Nimble from Google Apps (directions here).

How to cancel Copper

You cannot cancel your Copper account on your own within the app. You will need to request a cancellation, and Copper's billing team will follow up with you. You can request a cancellation by going to "Settings" followed by "Billing", then selecting the "Request Cancellation" link.

The fine print:

  • Only an account owner can request an account cancellation
  • You have to request a cancellation at least 30 days before your renewal date.
  • You can add a user or upgrade your subscription plan whenever you want, but in order to remove users or downgrade your plan, you must provide Copper with at least 30 days notice.
  • You do not receive a refund if you cancel your account before the end of your billing cycle.

How to cancel Nutshell

Cancelling your Nutshell account is straightforward: simply go to your Setup page, followed by "Nutshell Billing". Click on 'Close your account' at the bottom of the page to cancel your Nutshell account.

The fine print:

  • You have 7 days after your renewal bill to cancel your account and receive a full refund.
  • If you use Nutshell for less than one calendar month, you will not be refunded for that period of use.

How to cancel Zoho

Cancelling your Zoho CRM account is straightforward: simply log in to your Zoho CRM account (https://accounts.zoho.com/), go to your Preferences page, and select 'Close Account' at the bottom of that page.

The fine print:

  • Your data will be immediately deleted once your account is closed. Be sure to export your data before you cancel your account.

How to cancel Insightly

Most Insightly accounts will require you to submit a request for cancellation, but if your account is eligible for an immediate cancellation, these steps will be the same (with a different final option).

To request a cancellation, go to your "Billing & Account" page (by clicking on your profile icon on the top right corner), then select "Cancel Account" on the left side of your screen. Click on the 'Request Account Cancellation' button and provide your details for an Insightly representative to reach out to you.

If your account is eligible for immediate cancellation, follow the same steps above. Instead of a "Request Account Cancellation" button, you'll see "Please cancel and delete my account". Clicking on that button will close your account.

The fine print:

  • You will not receive any pro-ration or refunds if you cancel early.
  • Your account data will be permanently deleted from Insightly once you cancel, and cannot be recovered -- don't forget to export your data before you cancel.

How to cancel Agile CRM

The account owner will need to use the online control panel to submit a cancellation request. Reaching out via email, phone, or contact form to request an account cancellation will not suffice.

The fine print:

  • Account cancellations will take 2-3 business days to process, and once processed, your account details will be permanently deleted. Be sure to export your data before you submit your cancellation request.
  • If you are paying month-to-month, you can cancel any time with no additional fees.
  • If you are paying annually, you will not receive a refund for the unused months.

How to cancel Keap (formerly Infusionsoft)

You cannot cancel your Keap account on your own within the app. You have to request a cancellation verbally (via phone) through a Keap representative, or submit an online ticket through the cancellation form, in order to cancel your Keap account. After the request has been initiated, you must speak with a member of the cancellation team to finalize the cancellation.

To submit a cancellation form in your Keap account, go to your Settings (in the top right corner), followed by 'My account'. Click 'Cancel my subscription' to fill out the cancellation form, and you will receive correspondence on this request within 2 business days.

The fine print:

  • You have to initiate your cancellation request (read: contact a Keap representative verbally or fill out the cancellation form) at least 10 days before your next invoice (your invoice date is the day of month when you started your subscription -- i.e. if you subscribed on the 15th, your invoices will be issued on the 15th of every month).
  • Only a verified account owner or administrator can request a cancellation.
  • Keap will not prorate any portion of unused subscription fees.

How to cancel Microsoft Dynamics 365

To cancel your Microsoft Dynamics 365 account you will need to open a Billing and Subscription Management support request. Sign in to your Microsoft 365 portal (https://portal.office.com/), select the Dynamics (Online) option, or the Admin app, and select the "Support – New Support Request" option on the left. This will open the "Need Help?" window, where you can type your Subscription Management question (i.e. "I'd like to cancel my account').

The fine print:

  • You may be asked to provide additional information about your organization account. Here's a tutorial on how to find that information.
  • There is an account cancellation date, and an account deletion date specific to when you cancel. Be sure to export your data out prior to the account deletion date to keep your data with you.

How to cancel SugarCRM/Sugar Sell

You cannot cancel your SugarCRM/Sugar Sell account on your own, or anywhere within your app. In fact, SugarCRM does not provide documentation on how to cancel your account with them. To manage your SugarCRM subscription, contact the customer success team here. If you are the support-authorized contact for your SugarCRM account, you can start a support case here.

This decision to cancel/not renew has to be done at least 90 days before your renewal date, and has to be done in writing.

The fine print:

  • You have to provide at least 90 days written notice of an intent not to renew prior to the end of your subscription term. Your subscription will renew automatically otherwise.
  • You are bound by the terms of your Order Form, and will be liable to cover all your fees for the entire Subscription Term. If you cancel early, or reduce usage/number of users, you will still have to continue paying the same monthly fees until the end of your subscription term.
  • All fees are non-cancelable, and nonrefundable.

How to cancel Monday.com

Cancelling your monday.com account is straightforward, but requires going through a number of pages: you just need to click on your profile picture on the bottom left corner, then select "Admin". Click on "Billing" on the left, then "Cancel my account" at the bottom right corner.

You'll need to select a reason for cancelling your account before proceeding, and you will be asked if you'd prefer to freeze your account (freezing your account means you cannot get into your account, but monday.com will continue to keep your data for that duration in case you want to return later on). You will need to click on "Still want to cancel" followed by "Cancel plan renewal" to finalize the cancellation.

The fine print:

  • Only administrators can close an account, and it has to be done on the web version of monday.com (i.e. not on the app)
  • Trial accounts will close on their own.
  • You cannot get a refund/pro-ration for monthly plans.
  • You can get a refund/pro-ration for yearly plans -- to qualify, you will need to cancel within 30 days of purchase. Your account access will be immediately revoked if you request a refund.

How to cancel ActiveCampaign

If you're the Primary Admin (aka the account owner), you can cancel your account by clicking on your name on the bottom left corner, and selecting "Billing and Upgrade". Click on the "Cancel" link in the Payment box, followed by "Yes, Cancel my account". You will be asked to select a reason for cancellation before your cancellation is finalized.

The fine print:

  • In order to collect information about cancellations, ActiveCampaign will give you a number of ways to schedule a 1:1 session to talk with their support/success team prior to cancellation. You can opt out of these by either clicking through, or emailing your success manager directly to request a cancellation.
  • ActiveCampaign does not offer refunds.
  • All cancellation requests will take effect at the end of then-current subscription period in which the cancellation request is made.
  • You can choose to pause your account for up to a year instead, and ActiveCampaign will continue to retain your data until you un-pause your account. You can only pause your account once a year.

How to cancel Zendesk Sell

If your Zendesk Sell account was created before January 7 2020, it is considered a legacy account and you can cancel it as follows:

  • Log in to your Zendesk Sell account, click on the "Settings" icon (gear icon)
  • Go to 'Manage' followed by 'Account.
  • Click "Cancel my entire Account" at the bottom of the page. This deletes your entire account and your users. Be sure you have your data already exported before cancelling your account.

If your Zendesk Sell account was created after January 7 2020, it is a similar process:

  • Log in to your Zendesk Sell account, click on the "Zendesk Products" icon (four squares icon) then click on "Admin Center"
  • Click on "Billing Details" > "Go to Cancellations" > "Cancel account:. This deletes your entire account and your users. Be sure you have your data already exported before cancelling your account.

The fine print:

  • Zendesk does not offer refunds for unused time, and they recommend closing your account close to your next billing cycle.
  • Only account owners can cancel accounts.

How to cancel Pipeliner CRM

You can cancel your Pipeliner CRM account via your Admin Portal (https://customer-portal.pipelinersales.com/). The "Cancel Subscription" button will be at the top of your screen. You will see a pop-up to confirm this cancellation, and once the cancellation is processed, your account status should read "Cancelled" on the right side of your screen.

The fine print:

  • You cannot cancel your account when you are less than 30 days away from your renewal date.
  • There is a small window of time (unspecified) where Pipeliner can reopen your account to grant you access to your database, but because this window of time is unspecified, be sure to export your data prior to cancellation to ensure that you have your data with you.

How to cancel Really Simple Systems

Cancelling your Really Simple Systems account is straightforward. Simply go to your "Settings", then "Manage Subscription". Select 'Change Plan & Options', and then click on 'Cancel Subscription' (the red button) at the bottom of the page.

The fine print:

  • If you cancel your account before the end of your paid-up subscription period, you will continue to have access to the CRM until the end of that period.
  • Your account data will be deleted once your account is closed. Only Enterprise plan customers will be able to re-access or re-download their data after account closure.

How to cancel Maximizer CRM

There isn't a way to cancel your Maximizer CRM account -- you can only cancel auto-renewal. The term period specified in your Order Form will let you know when your next auto-renewal date is. If you want to stop using Maximizer, you will need to provide at least 90 day written notice of non-renewal prior to your renewal date.

The fine print:

  • Maximizer only accepts payment in full at the start of your contract term; you will not receive a refund for non-renewal.
  • Once your account is closed, you will not have access to Maximizer. Maximizer will store your account data for 30 days after account closure. You can request a backup within this 30-day period, and it'll be sent to you as a .BAK file.
  • While your backup data will be free, the services and labor provided by Maximizer to give you that backup can incur fees.

How to cancel Daylite

Because Daylite also offers a free plan, another option instead of cancelling your account is to switch to the Free plan instead.

If you wish to fully delete your Daylite account, you will need to log in to your Account Manager (https://www.marketcircle.com/account/login), switch to the Daylite Free Plan, choose "My info", then at the bottom of the page, click on "Delete my account". You will be sent an email confirmation, and you will need to click on "Delete account" in the email to finalize the deletion.

The fine print:

  • Data will be permanently deleted. Be sure to download a backup of your data before deleting your account.
  • You can undo a deletion within 10 days of starting the deletion process.
