Here at Less Annoying CRM we know that your data is very valuable to you, and we want to make sure you can get your data out of the CRM if you want to. There are a few different steps you’ll need to take to export your contact and company data, uploaded files, lead data, and tasks. Events cannot be exported specifically, but you can use a sync with Google to get all of your events into Google and export them from there.
Please note: if you don’t see any of the exporting options below you may need to have an administrator on your account turn exporting on for you.
Export your contact and company data on the Export Contacts page, which is also available in the dropdown under Settings. On the left side of that page, you will see an option to download the contact and company data to Excel or to a CSV file. A CSV file is better if you have a lot of contact and company records, but either one will work! Simply click on the option you’d like, and then your data will be exported to a spreadsheet.
Download any files uploaded to the CRM on the Export Contacts page, which is also available in the dropdown under Settings. On the right side of the page, you will have an option “Download .zip file.” If you click on that all of the files you’ve uploaded to the CRM will be exported into a .zip file. The .zip file will have a folder for each contact or company, with all of the uploaded files for that record within that particular folder.
There are a few steps you’ll need to take to export your lead data. First, navigate to the Lead report, by selecting “Leads” in the navigation bar.
Please note: the term “Lead” is customizable. Lead is the name of a specific pipeline, and your account may show other options in the navigation bar, including “Pipelines.”
The Lead report has a few different filters to help pull exactly the data you’d like to see, located just above the first record. You can use the "Filter by status" option to view every entry within the pipeline. Simply select “Filter by status” on the left side of the page, choose “All statuses," and then apply the filter.
That will pull up a list of all records in any status of the Lead pipeline, so that you can see the entire active pipeline and any historical entries. Next, click on the “Export” button on the right side of the page to download the Lead data to Excel.
Export your task list on the Task Report page, which is also available in the dropdown under Your Workspace. There are a few filters you can apply to export exactly the list of tasks that you’d like, located in the gray bar near the top of the page, below the text “Task Report.”
Filter by due date - this filter allows you to view tasks within a specific time range. If you’d like to see all of your tasks, choose “Anytime (past or future)” here.
Filter by completion status - this filter allows you to view tasks that have, or have not, been completed. If you’d like to view all of your tasks, including your task history, select “Complete and Incomplete.”
Events can’t be exported directly from the CRM, but you can use the sync with Google calendar to get the data out of the CRM, and then export the events in Google. In order to export the events, you’ll first need to set up the sync with Google calendar, if you don’t already have that turned on. You can follow these instructions to set up the Google calendar sync:
Please note: the Google calendar sync is a two-way sync. If you have events in Google that you would not like to sync to the CRM, or that you don’t want to export, you should sync LACRM to a new, blank sub-calendar in Google.
Once the sync has been turned on all events will sync over to Google. The sync can take a few moments, depending on how many events you have in the CRM. After the sync has successfully run all events will appear in your Google calendar, and you can then export the events from Google. You can follow these instructions to export events from Google, being sure to export events from the desired Google calendar (the calendar should be the one you set the LACRM sync up with earlier):
Now you’re done! You should have a few different files with all of your contact and company data, files, pipeline data, tasks, and event data. You can save these files to keep a local backup of your data, or use the files to transfer information to another system.
